Overview

Job summary:

10-Month Contract Position. Reporting to the Vice President – Sales, Marketing & Innovation, the incumbent will be responsible for the management, scope control, timing, communications, reporting, resource identification, training support, and implementation of a design refresh, functionality update and enterprise level rollout of a Customer Relationship Management (CRM) platform.  This includes:

·         Working with a 3rd party design house on UI/UX design elements.

·         Coordinating with 3rd party project managers on predefined functionality and workflow updates.

·         Identifying internal subject matter experts and ensuring they are available to external vendors when needed.

·         Coordinating testing and signoff of feature updates.

·         Firmly managing scope and cost control.

·         Planning a multi-stage training and rollout of the software across multiple company locations across Canadian and US operations.

·         Ongoing reports to the VP – Sales, Marketing & Innovation identifying status and areas of risk.

·         This project involves working with teams across multiple time zones within North America.

 

 

Responsibilities

RESPONSIBILITIES

Software Development Phase:

 

  Working with members of a UI/UX Design firm to create a design and workflow refresh to an existing multi-tenant software package that meets our core needs while not disrupting existing vendor clients.

  Coordinating and managing scope and timeline between design firm and software vendor.

  Take part in Agile based project weekly sprints from different vendors to ensure QA and Signoff are performed in a timely manner.

  Coordinating internal resources to identify optimal workflows.

  Manage scope to ensure project cost control.

  Work with Project Manager at vendor software company on multi-stage project for adding in predefined feature/functionality updates to an existing software package.   

  Provide bi-weekly status updates to the Vice President – Sales, Marketing & Innovation indicating overall project status, projected timelines and areas of concern.

  Coordinate internally with the Creative Director and Business Analyst.

 

Implementation Phase:

  Plan out an internal software training and rollout schedule that considers regional training, facility size and support requirements.  Work with both Internal and external resources to plan dates based on completion of priority software and design updates balanced with facility operational requirements.

  Work with Business Analyst and Accounting team in migration workflow planning for financial transactions held in old CRM system and conversion of merchant payment services (i.e. TD Merchant Services to Open Edge).

  Plan and execute data migration or alternative processes to ensure business continuity throughout implementation process;   

 

Post Launch Phase:

  Work with software vendor on predefined second tier functionality updates planned for post launch

  Collect operational feedback on new software and review with Vice President – Sales, Marketing & Innovation to identify any out of scope features that are deemed necessary.

  Monitor accounting workflows of the two systems during the transition period.

 

Additional Responsibilities:  

  Provide Project Management support for a variety of technology projects

  Work with Canlan Brands and 3rd party Technology companies to establish project requirements, QA, training and rollout plans for new technology projects

  Support Canlan Brands & Facility staff in rolling out technology projects

Requirements

QUALIFICATIONS, ATTRIBUTES AND EDUCATION

 

Minimum of 5 years project management experience.

Experience in Change Management is an asset.

Formal Project Management training and the PMP designation are assets.

Experience working on technology projects required.

Knowledge and experience in agile project management methodology.

Excellent interpersonal and English communication skills

Excellent presentation skills

Possesses understanding in the areas of CRM and system design.

Strong analytical and problem-solving capability with excellent attention to detail.

Familiarity with Recreational Sports Industry is an asset.

Familiarity with Salesforce is an asset.

Experience using Jira.

Practical approach vs. theoretical knowledge.

Demonstrated ability in writing detailed reports.

Ability to express views, ideas and facts effectively both orally and in writing.

Demonstrated ability to develop, plan, execute and complete multiple projects simultaneously.

Proven management and administrative skills.

Ability to work well under pressure and to meet deadlines and organizational requirements effectively.

Self-motivated, professional and flexible; able to work both independently and as part of a team.
